Manage your exemption certificates

Introduction

In Anrok, you can manage your customers' certificates to gain real-time insights into their certificate statuses. Managing your certificates helps ensure you have a clear view of your sales tax compliance at any given moment. Managing certificates can also help generate reports and documentation to prove compliance during audits or tax assessments.

The Certificate page's request tools are enterprise features available on Anrok's Custom plan. Please submit this form to upgrade and unlock certificate requesting capabilities.

Click here to see each potential certificate status

anrok_active_status.png — This represents a certificate that is actively applied to new transactions. We recommend reviewing if this certificate needs to be adjusted in any way (e.g., applicable jurisdictions, exemption reason, etc.).

anrok_expiring_soon_status.png — This represents a certificate that is expiring within 30 days. We recommend immediately following up with the customer to request an updated exemption certificate.

anrok_expired_status.png — This represents a certificate that has expired and is no longer being applied to new transactions. We recommend immediately following up with the customer to request an updated exemption certificate.

anrok_archived_status.png — This represents a certificate that has been archived and is no longer being applied to new transactions. We recommend assessing whether you need to request a new exemption certificate.

 


 

Review a certificate

You can review a certificate to check its expiration date, applicable jurisdiction(s), uploaded certificate file, and more.

  1. In the Anrok app CleanShot 2023-07-20 at 12.02.21@2x.png, go to Certificates. Take me there!
  2. Go to the Certificates tab, then navigate to the certificate you want to review. If you have a large volume of certificates, you can search for the customer in the search bar.
  3. Review the certificate details, jurisdiction details, and any notes.

 


 

Edit a certificate

You can manually edit a certificate if you need to make specific adjustments or updates to ensure accuracy.

  1. In the Anrok app CleanShot 2023-07-20 at 12.02.21@2x.png, go to Certificates. Take me there!
  2. Go to the Certificates tab, then navigate to the certificate you want to edit. If you have a large volume of certificates, you can search for the customer in the search bar.
  3. Click Edit, then make adjustments to the following:
    • Certificate details
    • Jurisdiction details
    • Notes
  4. When you are finished, click Save.

 


 

Archive a certificate

You can archive a certificate if you've determined it is no longer applicable and should not apply to the customer's transactions.

  2. Go to the Certificates tab, then navigate to the certificate you want to archive. If you have a large volume of certificates, you can search for the customer in the search bar.
  3. Click the Options Menu button anrok_option_menu.png, then select Archive.

 


 

Request a new certificate

You can request a new certificate from a customer if the current certificate has an anrok_expiring_soon_status.png or anrok_expired_status.png status. Keeping your certificates updated will help ensure that you remain sales tax compliant.

  1. In the Anrok app CleanShot 2023-07-20 at 12.02.21@2x.png, go to Certificates. Take me there!
  2. Go to the Certificates tab, then navigate to the certificate you want to request. If you have a large volume of certificates, you can search for the customer in the search bar.
  3. Click the Options Menu button anrok_option_menu.png, then select Request new certificate.
  4. Under Customer email, make adjustments to the email listed if required.
  5. When you are finished, click Send request.

Once the customer submits a certificate, you will receive an email from Anrok notifying you to review the submission. See Request exemption certificates from customers.

 


 

Reprocess transactions for a certificate

You can reprocess the transactions for a specific exemption certificate to manually apply it to transactions within a specified date range.

  1. In the Anrok app CleanShot 2023-07-20 at 12.02.21@2x.png, go to Certificates. Take me there!
  2. Go to the Certificates tab, then navigate to the certificate for which you want to reprocess transactions. If you have a large volume of certificates, you can search for the customer in the search bar.
  3. Click Reprocess transactions, then select the Start date and End date from which you want transactions reprocessed to apply the certificate.
  4. If there has been an address change on the customer record, select the checkbox next to Prioritize customer address over invoice address.
  5. Click Next, then acknowledge the potential impact of these changes.
  6. When you're finished reviewing, click Start.

Reprocessing never changes returns you've already filed. When a reprocessed transaction falls in a filed period, Anrok negates the original entry and creates a new one in your current open period, so your historical filings and compliance record stay intact.

Reprocessing may result in refunds of tax collected from customers that fall outside the statute of limitations for tax refunds in the applicable jurisdictions. You're responsible for corresponding with the taxing authorities about any assessments, notices, refund claims, or amendments that arise from this action.
