Integrate Monk & Anrok

Introduction

Monk is an Anrok-approved billing partner integration. This guide outlines the process for successfully linking your Monk billing system with Anrok. This integration will allow you to automatically synchronize transactions and update sales tax on Monk invoices.

Step 1

Update Accounting Settings in Anrok

Before connecting Monk to your Anrok account, you must update your Anrok Accounting settings. This step is critical for tracking real-time updates accurately between Anrok and Monk.

  2. Next to Accounting, click Edit, then select the time zone that matches your Monk account.
    • Unless specified otherwise, your Monk time zone is America/Los Angeles. 
  3. When you are finished, click Save.

 


 

Step 2

Generate an Anrok API key

To connect with Anrok, you will need to provide Monk with your Anrok API key. Providing this key ensures that your Monk and Anrok accounts will be able to communicate effectively.

  1. In the Anrok app CleanShot 2023-07-20 at 12.02.21@2x.png, go to Settings. Take me there!
  2. Under Developers, click Manage API Keys.
  3. Click New key, then in the Notes field, enter Anrok-Monk API Key.
  4. Click Create key, then copy  anrok_copy.png  the API Key.
    • Save this value in a password manager or secure environment in case you need it at a later date.
  5. When you are finished, click Ok.

 


 

Step 3

Create Product IDs in Anrok

In Anrok, your Monk products will be grouped into Anrok Product IDs. These Product IDs are the key drivers for calculating taxability. See What are Product IDs?

To simplify setup, Anrok recommends grouping your products into one Product ID per each tax category.

If you have 10 products that all fall under tax category SaaS - General, B2B, then create a single Anrok Product with a descriptive ID, like b2b-saas-general. You can re-use this ID for all 10 products in Monk that share the SaaS - General tax category.

  2. Click Add product.
  3. Under Product ID, create a unique Product ID.
  4. Under Product name, enter the name for your product.
    • Reminder: a singular Anrok Product ID that groups many of your Monk items will reduce the number of Product IDs you need to create. This can also simplify mapping these Product IDs to Monk in Step 5.
  5. Under Assign a tax configuration, select a corresponding Product type and Tax category for each product. See Available tax categories for Product IDs.
  6. When you are finished, click Save.
  7. Repeat these steps for every distinct Product ID group required for your business. 
  8. Note: Monk treats the first Anrok Product ID mapped in Monk as a "default" product.
    • If any invoices include a product without an assigned Product ID, the first Product ID you add to Monk will be applied automatically. 
    • Before proceeding, identify which Product ID your company should use as their default Product ID when integrating to Monk. 

 


 

Step 4

Connect Anrok to Monk

After you’ve enabled Anrok through Monk support team and generated an Anrok API key, you can connect Anrok to your Monk account.

  1. In the Monk app monk3.png, navigate to Integrations > Anrok. Take me there!
  2. Click Anrok to expand the "Connect to Anrok" screen.
  3. On the modal that appears: 
    • Enter the Anrok API key created in Step 2.
    • Click Connect
  4. You should see a green successful "Anrok is connected" message.

 You must complete Steps 5 and 6 before sales tax will be calculated for Monk invoices. 

 


 

Step 5

Map Product IDs to Monk

Now that you have created Product IDs in Anrok for each tax category group your company uses, apply those Product IDs as Product Anrok IDs in Monk. 

Add your Anrok Product IDs to Monk in the demo above ☝️

When integrating Monk with Anrok, each product in Monk must have an Anrok Product ID in the Anrok Product ID field. Make sure to copy the exact Product IDs from Anrok to avoid errors during mapping.

  1. In the Monk app monk3.png, return to Integrations > Anrok. Take me there!
  2. In the Anrok Product IDs section, click +Add Anrok Product .
  3. Configure your Default Product first.
    • In the Anrok Product ID field, paste the Product ID that you identified as your default product in Step 3.8. 
    • For the Tax Tag field, enter Default Sales Tax.  Click Save
  4. Map any remaining Product IDs to Monk by clicking +Add Anrok Product and repeating Step 3 to map products between these two systems. 

 


 

Step 6

Update Existing Customers in Monk

Now that Anrok is connected to Monk, update your existing customer contracts to begin collecting Sales Tax for existing contracts.

  1. In the Monk app monk3.png, navigate to Customers > Specific customer > Contracts > select the relevant Contract. 
  2. Toggle Sales Tax on CleanShot 2024-09-16 at 11.21.18@2x.png to begin collecting sales tax. 
    • This will allow all future invoices for this contract to automatically have sales tax be applied.
  3. Anrok will automatically determine if sales tax is required based on your customer's location and your nexus, and apply sales tax (or not) where applicable. 
    • Monk recommends having Sales Tax toggled on for all contracts in Monk.

This setting is important for any new customers as well. Remember to toggle Sales Tax on CleanShot 2024-09-16 at 11.21.18@2x.png any time you create new contracts in Monk.

 


 

Step 7

Import historical transactions (Optional)

Importing your historical transactions will be key to maintaining a complete picture of your economic nexus and tax exposure. After creating an Anrok connection in Monk, you can download your Monk transactions to import them to Anrok. 

  1. In the Monk app monk3.png, navigate to Invoices. Take me there!
  2. Select the checkbox to "select all" Invoices. Next, click Export > CSV (by Line Item).
    • Review this export if needed to delete any unwanted transactions before your import to Anrok.
  3. In the Anrok app CleanShot 2023-07-20 at 12.02.21@2x.png, backfill historical transactions to Anrok by importing them from a file source in your Anrok Data sources tab
  4. Congratulations! Your Anrok to Monk connection is complete.
