There are two reasons why you might want to archive a product ID, either you are no longer selling the product, or the product has changed in a way that impacts taxability. Watch or read below to learn how to archive a product ID:
- You are no longer selling the product.
- The product has changed in a way that impacts taxability.
For use case 1, it is as simple as navigating to your product IDs page, clicking on the 3 dots corresponding to the product you wish to archive, and selecting “Archive” (pictured below). This will sunset the usage of this product ID on any future transactions. It will not impact your past transactions.
For use case 2, you may want to change the taxability of the product ID. For example, your team changed the product such that it is more of a Data Services product than a SaaS product. We recommend creating a new product ID altogether to refer to this new product in both your invoicing system and in Anrok. You cannot change the taxability of a product ID once it has been created. This ensures that no past transactions are mistakenly impacted.
If you must keep the same product ID, we recommend renaming the old product ID before archiving. For example, you can add “_old” in the product ID field. Once that is archived, you can add a new product ID with the original value and configure the new product ID. Future transactions with this product ID will have the new taxability assigned correctly. You can always distinguish between the old version of the product ID as the past transactions will have “_old” now appended to it and the taxability will not be affected.
